AI & Automation

Software that keeps every contact, conversation and deal in one shared record, so nothing lives in one person's inbox.

What is a CRM?

A CRM (customer relationship management system) is software that stores every contact, conversation and deal with your customers and prospects in one place, so the whole team works from the same record.

At its simplest it answers three questions: who is this person, what have we said to them, and what happens next. Better set-ups also log emails, calls and website enquiries automatically and show the value of the pipeline at a glance.

Why it matters

Without a CRM, a business's memory lives in inboxes, spreadsheets and people's heads. Leads go cold because nobody followed up, quotes slip through gaps, and when a salesperson leaves their relationships leave with them. A well-used CRM makes follow-up a habit, shows where deals stall and gives you a sales forecast you can trust. It is also the foundation for almost any useful automation or AI, because those tools need clean, central customer data to work from.

The parts that matter

  • Contacts and companies One record per person and organisation, with no duplicates and a clear owner.
  • A pipeline Stages that match how your sales actually move, from first enquiry to won or lost.
  • Activity history Emails, calls, meetings and notes logged against the record, ideally without anyone typing them in.
  • Tasks and reminders Next steps with dates, so follow-up does not depend on memory.
  • Simple reporting A simple view of enquiries, conversion and pipeline value that you check every week.

The honest view

CRM projects rarely fail on features. They fail on adoption. Businesses buy a heavyweight system, add dozens of custom fields, and within six months the team is back to spreadsheets because updating the CRM feels like admin for admin's sake.

A simple CRM that everyone uses daily beats a powerful one used monthly. The underrated part is automatic data capture: when web enquiries, emails and calendar bookings flow in by themselves, the record stays accurate without nagging. That accuracy is what makes AI tools built on top of it worth having.

What to do about it

Write your sales stages in plain words, from enquiry to won, and keep them to the ones you genuinely use. Decide the few fields every record must have and drop the rest. Connect your website forms and email so new enquiries land in the CRM automatically. Give one person ownership of keeping it tidy, and run your weekly sales conversation from the pipeline view so the team sees why it matters.
