Workflow Automation.
AI & AutomationUsing software to run a repeatable business process, or parts of it, automatically according to set rules.
What is workflow automation?
Workflow automation is the use of software to carry out a repeatable business process, or steps within it, automatically according to defined rules, usually triggered by an event such as a new enquiry, a signed contract or an overdue invoice.
A typical example: a new client signs, and the system creates their project, sends the welcome pack, books the kick-off call and raises the first invoice, with no one copying details between tools.
Why it matters
Every manual step in a routine process costs time, invites mistakes and depends on someone remembering. Automating those steps gives hours back each week, speeds up responses to customers and makes the service consistent whoever is on holiday. For a growing SME, automation is often what lets the business take on more work without adding admin staff. With AI now able to handle steps that need judgement, such as reading an email or summarising a document, far more processes qualify.
What good looks like
- A clear trigger Each workflow starts from a specific event, so it runs reliably every time.
- Mapped steps The process is written down first, including who does what and the rules for each decision.
- AI where judgement helps Language models handle reading, sorting and drafting; fixed rules handle everything predictable.
- Exception handling Anything unusual is routed to a person instead of being forced through.
- Monitoring and ownership Failures raise an alert, and a named person owns each workflow.
The honest view
Automating a bad process gives you a faster bad process. The most valuable step usually happens before any software is touched: mapping how the work really flows, removing steps nobody needs and agreeing the rules. Skip that and you hard-code today's muddle.
The biggest returns come from dull, frequent tasks such as onboarding, invoice chasing, enquiry routing and reporting, well ahead of headline 'fully autonomous' projects. The common trap is a tangle of automations nobody owns, which break quietly and get discovered by customers.
What to do about it
List the tasks your team does at least weekly that follow the same steps each time, and estimate the hours each takes. Choose one with clear rules and a low cost of error. Map it on paper, cut the unnecessary steps, then automate it and measure the time saved over a month. Document what it does and who owns it before moving on to the next.
